What is the Commercial Invoice used for:

The Commercial Invoice is used by governments of the importing country and customs authorities for valuation, taxation, and customs assessment. It generally contains basic details about the goods being imported. This document is very important for the importing country’s revenues since fraudulent invoices can cause significant losses. Therefore, it must be properly certified and authenticated so that the importer pays fair and proper custom fees. At D.C. Consular, we ensure that your commercial document goes through all legalization phases—including a Chamber Net Stamp and Embassy Legalization—to your complete satisfaction. We understand the importance of time and have developed an efficient system to finalize your Embassy legalization work as quickly as possible.

Details to be shown in a commercial invoice:

  • Exporter’s name, address, and contact info
  • Buyer/Consignee name, address, and contact info
  • Basic description of the exported cargo
  • Unit price, sub-total, and Total Price
  • Harmonized Tariff Schedule code of the exported items
  • Country of origin (where manufactured) for each commodity
  • A table containing the exported goods’ unit price, quantity, subtotal, and total price
  • Shipper's signature, seal, and date

Why the U.S. is a good source for goods:

Countries around the world generally follow similar import documentation regulations, where all commercial documents and legalization procedures aim to ensure that the documents are authentic and accurately reflect the true price, quantity, origin, and quality of the goods. The United States is considered a prime supplier because of the high quality, durability, and efficiency of American-made goods, equipment, and machinery. Even agricultural and food products are known for their strictly controlled quality and suitability for consumption. Over many years of business with these countries, we at D.C. Consular have developed a unique and efficient path for those wishing to use our service, ensuring our clients’ satisfaction is always guaranteed.

Required Steps for Notarization:

In order for a Commercial Invoice to become a valid and acceptable document, it must be notarized, then authenticated with a Chamber Net Stamp, and finally submitted to the relevant Embassy or Consular office of the destination country for final Embassy Legalization.

Why legalization is a must:

Generally speaking, a complete document legalization process offers extra legal certainty in international trade business. After legalization is complete, the client can be assured that the document is fully valid and accepted by the appropriate authorities.
